CWC is a participating provider with most insurance companies in the Hampton Roads area. As a courtesy to our patients we file insurance claims for you to your insurance carrier. Regardless of the type of insurance coverage you have, you are ultimately responsible for paying your medical bills. We encourage you to call your Insurance Company and be familiar with your coverage limitations.

Q: Who do I call if I have a question about my bill?
A: Our Insurance department is open Monday – Friday, 8am – 5pm and can be reached at 757-481-9535. Our Insurance Specialists can help you with your billing question, service or claim information, arrange a payment plan for an outstanding balance or process a credit card payment.
Q: If I have insurance, do I need to pay anything at time of service?
A: You are required by your insurance plan to pay any co-payment, co-insurance, or deductible that is due at time of service. We are required by our contract with your insurance plan to collect these payments. For your convenience we accept cash, checks, Visa, MasterCard or Discover credit cards.
Q: I’m pregnant and I’m seen very frequently in your office; why do you always ask me about my insurance coverage at every visit?
A: Because we do not want you to be billed for services that your Insurance Company should pay. People change their Insurance Carriers frequently – we want to make every effort to make sure we “get it right”… please be patient with us so that you are not bill unnecessarily.
Q: I am a self-pay patient, do you provide discounts to patients who have no insurance.
A: Yes we do. We want to encourage our patients who may be in-between Insurance Coverage cycles to maintain their Annual Exam schedule and not miss getting their pap smears. We can offer discounts if you pay for your visit at the time you are seen. Our Lab providers also extend discounts to self-pay patients. For other services we can provide charge estimates so that you can estimate your charges prior to your visit. Please understand that fee estimates are just that “estimates”, until you are seen and your care provider determines your care plan – we can not fully provide your exact costs. We can help you with Payment Plans for expenses above $200.00.
Q: What do I do if my name, address or phone number changes or I have new Insurance?

Q: Why am I getting a bill for the services of a doctor I did not see?
A: You probably were seen by one of our nurse practitioners. Many insurance carriers require the medical claims to be billed by a practicing physician. Therefore, the supervising doctor would have billed your charges.
Q: I need a copy of my medical records, how can I get them?
A: You can call 757-481-7222 and ask for a medical records release or you can access our office by our online patient portal. Select “medical records request”. Please note that there may be charges associated with the copying, process and mailing of your records.
Q: My insurance company requires authorizations for surgical procedures, am I responsible for doing that?
A: We do get Insurance Authorizations for surgical procedures; however we encourage our patients to always confirm with their Insurance Company prior to a surgical procedure that their plan covers their charges. An authorization does not mean that the procedure will always be covered, it is best to check with your carrier.
